Every year we host hundreds of meetings at our London venues so we've put together a simple guide to help you plan the perfect meeting in the City.
Time Frame
Timing is important to a successful meeting so it's important to get specific about your schedule early on in planning. For example starting at 7.30am for a breakfast meeting can help minimise disruption to the normal working day. For the same reason late-afternoon can also work well, followed by drinks and canapés to turn it into more of a social event.
Set a Date
Everything revolves around the date of your meeting. Ideally you want to have three potential dates in mind so that you can compare availability and prices across the board. Try to include different days of the week for maximum flexibility. For City venues Mondays and Fridays tend to be more economical, but consider how this may impact attendee availability.
Attendee Numbers
Be realistic about numbers as this can make a lot of difference to size of meeting room required, which will impact your budget. Consider the ideal seating layout, will it be boardroom, classroom, theatre, U-shape etc. as this will often determine room capacity. Audio Visual
With technology evolving every day and playing an increasing role in meeting and events, it is important to get it right on the day. Know what your meeting's technology requirements are communicate them to your host venue. At Cavendish we can cater for everything from audio reinforcement and data projectors to full video conferencing and simultaneous translation.
Get Creative
Look at different options to make your meeting more interesting and memorable to delegates. At our City venue, America Square we have the original remains of the London Wall running through the building, making a very unique backdrop to the events we host. Themes can also work well to bring a element of fun to your event, whether it's something simple like LCD lighting in the corporate colours or catering themed to match your meeting topic, break the ice and connect with you attendees with laughter.
